Credit Controller and Biller
An exciting dual role opportunity has arisen for a credit controller and biller and with, at least, 3 years’ experience of working in the legal sector.
Main Duties and Responsibilities
Credit Control
- To review daily aged debt alerts and take appropriate action in sending template reminder letters to the client with a copy of the invoice and summary of work billed.
- To liaise with Heads of Departments prior to sending a letter before action to clients.
- To run and check the private client aged debt report each month.
- Review unallocated cash and client credit funds on outstanding bills report and take appropriate action.
- To keep a spreadsheet or all outstanding bills and actions taken to obtain settlement of these bills. All records (including those being chased by fee earners) should be reviewed on a regular basis and updated where necessary.
- To maintain records of all actions and correspondence in Case Manager files
- To run and check monthly aged WIP report for private clients where client monies are held on account and notify fee earners for billing and processing client to office transfers
- To set reminders in Outlook/Calendar to chase clients on due dates
To process MCOL’s where necessary to liaise with the Head of Dispute Resolution on any difficult matters
Private Billing
- To raise all private bills promptly and accurately in accordance with SRA Accounts Rules, ensuring all disbursements, time entries and client account funds are correctly reflected.
- To issue bills to client by email with a clear breakdown of work done and any supporting documents required.
- To ensure all private bills are recorded correctly on the system and allocated against relevant WIP and disbursements
- To monitor matters with client money on account and liaise with fee earners to trigger billing
- To review the monthly private WIP report, identify matters requiring billing and chase fee earners where necessary to ensure timely billing.
- To liaise with Chambers, experts in a professional and timely way.
- To maintain a clear billing log showing bills raised, amounts paid, outstanding balances, and actions taken.
- To deal with client queries relating to invoices, providing clear explanations of charges and escalating complex issues to the relevant fee earner or Head of Department.
- To work with the accounts team to ensure disbursements (counsel, experts, interpreters, etc.) are reconciled and billed appropriately.
- To support the credit control function by ensuring all bills are raised promptly, accurately and in a form that facilitates early payment.
- To assist in developing and maintaining best practice billing procedures to ensure compliance and efficiency across departments.
Required skills, Knowledge, Experience and Attributes
- Must have a good understanding of legal accounting and be able to read a client ledger financial transaction report
- Must have experience working as a credit controller of a legal firm with understanding of the MCOL process.
- Minimum “A” level standard
- Excellent communication skills both written and verbal
- Excellent word, outlook and Excel skills
- Have confidence to communicate with staff at all levels
- Be pro-active
- Ideally have some knowledge of SAR’s although not entirely necessary.
Hours: full-time – 35 hours per week; 9.30am-5.30pm Monday–Friday
Salary: Competitive, dependent on experience
